Student Arrival on Campus

As Colgate welcomes students back to campus for the spring 2021 semester, the arrival process will include practices and guidelines designed to protect the health and safety of all.

Arrival Time

To de-densify the arrival process, all students must pre-register for an arrival time, and should only begin to move onto campus during their registered window.

Check in is Jan 22 and 23, 7 a.m.–4:30 p.m.

Please keep the following in mind during the arrival process:

  • All students, regardless of whether they are living on campus or off, must check in at Sanford Field House immediately upon arrival. Critical information for the start of the semester will be provided to students as they check in. Automobile traffic may access the Field House via the parking lots at Andy Kerr Stadium and 1965 Arena (see information below).
  • Students and family members should ensure that they wear proper face coverings throughout the arrival process.
  • Try to pack lightly to facilitate an easy move-in. 
  • Non-residents are not permitted within student residences.

Arrival Process

Note: As was the case during arrival for the fall semester, non-residents are not permitted within Colgate’s residential facilities. We understand that standing by while your student moves their luggage and items on their own may feel uncaring; however, in the context of the pandemic, the best way for parents and family members to care for their students and the University community is to remain outside of student residences.

During arrival days, roads to the upper campus will be closed to traffic. Vehicular access will not be possible for the following on-campus residences: Andrews, Stillman, Gate House, Burke, Pinchin, East, West, Curtis, Drake, Bryan Complex.

Recognizing that students in these residences may require assistance transporting their personal belongings from check-in at Sanford Field House, moving trucks and University staff members will be available to transport student belongings to these upper-campus residences — see Upper Campus and Bryan Luggage Drop below. Students not requiring assistance transporting belongings to upper campus, residing in all other campus residential facilities, and those residing in off-campus residences may instead follow the instructions under Student Check In.

Upper Campus and Bryan Luggage Drop

The Upper Campus and Bryan Luggage Drop is for students residing in one of the following residences who are arriving with more than they can carry from Sanford Field House to their residence: Andrews, Stillman, Gate House, Burke, Pinchin, East, West, Curtis, Drake, Bryan. All other students should see Student Check In.

  1. Prior to arrival, ensure that you have fully labelled all your personal belongings and luggage with your name, residential building, and room number. Luggage label templates are available for download below.
  2. Proceed to the Andy Kerr Stadium parking lot via College Street, entering the main lot at the entrance adjacent to 1965 Arena, labelled “Upper Campus and Bryan Luggage Drop.”
  3. You will unpack your vehicle under the cover of the stadium stands; Colgate staff members will then load your items into moving trucks for transport to your residential facility, where they will be unloaded into a designated lounge area. You will be responsible for moving your items from the lounge to your room.
  4. After unloading your vehicle:
    • Say farewell to any family members, allowing them to depart and de-densify the campus. Roads on the upper campus will be closed, so family vehicles will not be able to assist in transportation to residences following check in. Please be sure that you have removed all your belongings from the vehicle.
    • If you have driven to campus in your own vehicle, you will exit the Andy Kerr lot, turning right on College St. (toward campus). You will then turn right to enter the “Student Check In” lot adjacent to 1965 Arena. You may proceed with your vehicle to the General Purpose parking lot, then return to Sanford Field House on foot to check in.
  5. You will enter the check-in area in Sanford Field House to register your arrival on campus. All students, regardless of whether they are living on campus or off campus, must check in at Sanford Field House immediately upon arrival.
  6. Following check in, students may walk to their residence, or utilize one of the Colgate Cruisers that will be assisting in transporting students from 113 Broad St.

Student Check In

All students, regardless of whether they are living on campus or off, must check in at Sanford Field House immediately upon arrival. Students arriving by car who do not need to utilize the Upper Campus and Bryan Luggage Drop (see above) should do the following:

  • Via College St., proceed to the rear lot of the Class of 1965 Arena; the entrance will be labelled “Student Check In.”
  • Student and family vehicles may be parked temporarily in the lot while the student enters Sanford Field House to check in. Only the student may enter the check-in area in Sanford Field House — family and friends, please remain within your vehicles.
  • Following check in, vehicles may approach the student residences on lower campus for the purposes of unloading their belongings. Please note that non-residents, including a student’s family members, are not permitted within Colgate’s residential facilities.
    • There will be no car access for the upper campus residences of Andrews, Stillman, Gate House, Burke, Pinchin, East, West, Curtis, Drake, and Bryan. Students in these residences should say farewell to families prior to entering the check-in site at Sanford Field House, allowing families to depart and de-densify campus.

Following check-in, students may walk to their residence, or utilize one of the Colgate Cruisers that will be assisting in transporting students from 113 Broad St.

If you are flying into Syracuse Airport, Colgate will provide a free shuttle on the following dates and times:

  • January 21 (CLs and approved early arrivals only): 12 p.m. and 6 p.m.
  • January 22: 12 p.m., 3 p.m., and 6 p.m.
  • January 23: 12 p.m., 3 p.m., and 6 p.m.

Students must register in advance to ride the free shuttle.

Students should arrive during the daytime; however, if your flight will not coincide with one of the scheduled shuttle times due to limited flight availability, travel delays, etc., the On-Demand Shuttle is an option with a sliding price scale depending on the number of passengers.

Students arriving on campus between 7 a.m. and 4:30 p.m. should proceed directly to Sanford Field House to check in. Students arriving outside these hours are required to check in at Campus Safety immediately upon arrival to campus.

Following check-in, students may walk to their residence, or utilize one of the Colgate Cruisers that will be assisting in transporting students from 113 Broad St.

All students, regardless of whether they are living on campus or off, must check in immediately upon arrival before going to their residence. 

Outside of normal check-in hours

Students should arrive during the designated check-in hours; however, students who must arrive outside of the regular check-in window (Jan 22–23, 7 a.m.–4:30 p.m.) — either due to travel delays or issues of flight availability — are required to check in at Campus Safety immediately upon their arrival on campus.

Missed time slot

Students who experience travel disruptions that cause them to arrive outside their pre-registered arrival window, but during regular check-in hours of (Jan 22–23, 7 a.m.–4:30 p.m) at Sanford Field House, may simply proceed through the check-in process at the field house upon their arrival on campus. If you arrive after regular check-in hours, you must check in at Campus Safety before proceeding to your residence.

Students whose arrival becomes delayed past January 23 should contact their administrative dean for instructions.

Additional Information

Should a parent or guardian need to come to campus to deliver an essential item (e.g. medication), they must first register their visit using the University’s online visitor request form.

All individuals involved in the arrival process, including students, parents, family members, and Colgate employees, must use face coverings and observe proper physical distancing guidelines throughout the arrival process.

Due to COVID-19, parents and family members will not be permitted inside any University residential facilities. Contact between parents and family members with other students can compromise the University’s testing protocol and create unnecessary “close contact” situations. Only students and employees who have received a negative COVID pre-test will be permitted to enter residential facilities. 

University employees, equipped with proper personal protective equipment and all of whom have recently tested negative for the virus, will be on hand to assist students with moving into campus residential facilities.

We know how very difficult this will be, especially for families, and ask that all prepare for this farewell well before arriving on campus.

The restroom facilities at Andy Kerr stadium will be available for parents and family members dropping off their students. There will be restrooms available in Sanford Field House for students to use while checking in.

Students utilizing the moving trucks provided to take items to their residences on upper campus must ensure that their belongings are clearly labeled prior to arrival on campus using the luggage tags available for download below.
