By special permission, bona fide departments and student groups will be granted a single account to facilitate connections between the department or group and interested parties. The department or group must identify one person to be responsible for the account and to act as the contact person. The contact person must send an annual request to ITS to continue the account. All accounts that do not have an active contact person assigned will be discontinued on July 1 of each year.

Colgate strongly recommends that e-mail not be used for confidential communication. E-mail is now considered a formal written record that carries the same legal weight as a formal memorandum. Users of e-mail should remember that e-mail messages become the possession of the receiver and can be easily duplicated and redistributed by recipients. Messages that have been deleted can unintentionally be retained on system backup files. In addition, even secure passwords are not completely confidential. When a private message needs to be conveyed between two individuals, a conversation is the best way to accomplish it, and messages that should not be preserved should be deleted immediately.
University policy prohibits certain types of e-mail. These include mail that may be perceived as harassment, political campaigning, or commercial solicitation. Chain mail is also prohibited because it consumes large amounts of system resources. These policies will be enforced when violators are brought to the attention of the ITS administration. Certain types of e-mail, including but not limited to harassing e-mail, may also subject the sender to civil or criminal penalties. In spite of university policy, e-mail can be abused by malicious users who know the owner’s computing ID and password. Users are responsible for protecting their own passwords.

GAFE Email is what we use for Colgate email with the address "@colgate.edu."
GMail is the commercial email service that you use when you have an "@gmail.com" account.

Google updated one of their products, which has temporarily broken this Email Gadget. We have opened a ticket with Google, and they're aware of the situation. Google is working on resolution to this problem. To view your email, simply click on “Email” above the said error message, or on the “open full Gmail” hyperlink

Gmail certainly has mail size limitations but the Gmail storage system is certainly an improvement over Exchange. These limitations depend on the migration method. For instance, some users have reported that that 5 MB or larger attachments have caused the "Google Mail Uploader" tool to hang, as the connection timed out. This limitation doesn't appear to be consistent. In cases where IMAP was used to transfer emails large attachments (up to 10 MB) uploaded fine. Google itself has an absolute maximum attachment size of 20 MB. Due to the general nature of Email protocol it's not recommended to attach such large messages at any time anyways. In general, email protocol is not designed to handle such large attachments.
We recommend migration of emails containing large attachment separately, after doing the bulk of the smaller mail first. This way one can avoid any chokepoints in the process, and the process will have a higher chance of finishing without errors. The number of e-mails moved will certainly affect the duration of the process, but it shouldn't affect the success rate. The combined size of the emails tends to cause time-outs, and therefore it's recommended to do large emails separately.

Your account wasn’t properly activated yet. To remedy this problem, simply login to your Gmail account using the web browser, and also setup/reset your password if this is your first time logging in. Once you’ve done this, Google Uploader utility should allow you to log in.

This vague error is often caused by temporary cache files. Clear your browser’s cache, and try to login again. In Internet Explorer, this is done by clicking on “Tools”, “Internet Options” and “Delete Files”, while in Firefox this is done by clicking on “Tools” and “Clear Private Data”

We do not support or recommend this action, as it’s not any more secure than the Gmail system, and it’s prone to data loss in case of catastrophic hardware failure. However, this is indeed possible. In order to keep a personal folder file on your local machine, a third party email client, such as Thunderbird, must be installed, and configured to use personal folders.

Yes, absolutely. As long as the third party email client such as Thunderbird is configured properly, you should have no problems using both an Email Client and Gmail web based interface simultaneously.

Yes, this is something that’s fixed by enabling “Signature tweaks” in Google Labs. To do this, open Gmail, click on “Settings”, “Labs”, and locate “Signature Tweaks”. Then select “Enable” and “Save Changes”

Unfortunately, deleting the voice mail from your email inbox will no longer disengage the 'new voicemail' light on the telephone.

Unfortunately, Gmail web client doesn’t allow you to mark outgoing emails by a priority scale. This may change in the future, as Google is always adding improvements to their system. Thunderbird does allow for this via menus, but unfortunately Gmail will not show this priority, even if set in Thunderbird.

Yes, Gmail allows for maximum of 500 recipients in one single distribution list. We are looking into alterantive solutions for this current limitation, but one of them is to split a large distribution into several parts, all containing fewer than 500 recipients.

No. Only the system that delivers your e-mail will change. Your e-mail address will stay the same – username@mail.colgate.edu and username@colgate.edu

Yes, your outgoing email address will indeed change. It will become <username>@colgate.edu. This change consequently means that you will have to register once more with all your listservs and other services that rely on the old @mail.colgate edu email address for authentication.

You can organize your Inbox messages in multiple ways, using the "labels" feature. You can also add multiple tags to a single message, for cross referencing.

Yes, use the gmail labels function to group items into categories. You can have Outlook open along with GMail, and move items to their new home.

This Inbox model is very different from the Outlook Inbox/Sent Items model. Conversations that appear in a thread are NOT added to the Sent Items folder. Deleting the thread from the Inbox will mean that all references to that message (or those messages) are gone.

You can send from another email address that you are registered with, but not from another actual GMail user.

You can't insert or paste a picture directly into GMail, but there is a workaround. Create a google doc, insert your picture or create your entire email message. Select All (Ctrl-A) and Copy (Ctrl-C), then open a new email and Paste (Ctrl-V) into the email. Make sure to format your google doc for text wrap or alignment before you copy and paste it into your email.
Recently, GAFE introduced a new Lab feature, called "Inserting Images". Enable this lab feature in Gmail settings, and you'll be able to insert images via a graphical interface while composing a new email.

No. Clicking on discard immediately deletes the message. (Looking closely and quickly, you will see an option to "undo" the discard option. If you don't undo it, your changes are permanently lost.

We have learned since beginning this project that at the present time, there is no way to connect the two domains (colgate.edu and students.colgate.edu). We will look at other options for providing e-mail addresses.

Starting the week of June 8th, as part of the move from Microsoft Exchange to Gmail, voicemail will no longer be integrated directly into your Colgate email.
Please note: Immediately following the new voice mail installation, voice mail will only be available by dialing 7840 from any phone on campus or 315-228-7840 from outside campus. Voice mail will not be delivered to your Gmail Inbox but you can still receive voicemail on your computer with the use of an email client (see below).
In order to receive voicemail on your computer you will need to install and configure an email client, such as Thunderbird. You will receive separate instructions regarding how to configure an email client to receive voicemail at a later date. If preferred, you can continue using only your telephone to access voice mail.
Announcements will be sent regarding voice mail outages during the transition.
