Available Rooms
The multipurpose room is the largest room on the left end of the building; it holds up to 150 people. Please note that your group is responsible for the arrangement of tables and chairs in this room. If you plan to request set-up and breakdown by the facilities department, you must submit a work order three days in advance of your event. After the event, chairs should be stacked against the side wall and tables returned to the storage room. Be advised that the Cultural Center Program Coordinator’s office is located upstairs in this room and that this person may need to move through the MPR during your event.
The seminar room is a small meeting room that holds up to 18 people. There are tables and chairs permanently in this room. If you move them, please put them back the way they were when you entered. The seminar room is also equipped with Colgate's most advanced Smartboard technology, which includes a 66' screen TV and an accompanying computer, only usable with permission from an ALANA staff member. This room also holds multiple communication services such as webcam and conference call accessibility.
The lounge is the room on the right end of the building with a television, VCR, DVD, and couches. It can comfortably seat about 10-15 people. We do make reservations for this room, but other students must be allowed access to this room during your meeting. The lounge is not reservable on EMS so please contact Makiko Filler at 7330.
The kitchen can be reserved for small cooking groups or in conjunction with another room for a catered event. You must sign in before using the kitchen and have a student monitor inspect it after use. You must clean up after your group, including cleaning the microwave, stove top, and counter tops, and drying and putting away clean dishes. Your group is responsible for any missing items. Fine will be issued if rules are not followed.
The computer lab is a study space. There are seven Windows computers and a printer. This room cannot be reserved. NO FOOD NOR DRINK IS PERMITTED IN THIS ROOM.
The patio is the space outside the center. It can be reserved for events taking place in the fall semester until November 1 and in the spring semester beginning April 1, weather permitting.
Reserving a Room
• To reserve a room in the ALANA Cultural Center, please fill out the relevant information on the EMS website.
• All requests must be made at minimum 72 hours before the event is scheduled to take place.
• Your login username is colgate\your username. If you have any other questions, please call 7330 or send an e-mail. Tutorial available on the EMS site.
• Rooms are available on a first-come, first-served basis. You will need to provide the name of your group, a contact name, and phone number, as well as the time and location of your event. Make sure you include time for set-up and break-down in your request.
• For the Fall 2011 semester, the ALANA Cultural Center is open Monday through Thursday, 9:00 am – 10pm, Friday 9 am - 8 pm, Saturday Closed and Sundays, 4 pm – 10pm. Student monitors will be on duty during these hours to assist visitors and to close the center. Hours may change without notice. When students are off campus, the Center closes at 4:30pm.
• If your group would like to use the center outside of our normal hours with reservation please call Campus Safety (x7333) to have the building unlocked. We will contact Campus Safety a day ahead of time to let them know your group is coming and has permission to use the building. Before leaving at the end of your event, please call Campus Safety for a lock-up and wait for an officer to arrive. The center must never be left open and unattended.
Room Usage
• If you need audio-visual equipment, you are responsible for making arrangements with media services. You can include AV request in EMS request. We have some equipment in-house, which the facilities department can set up as part of your work order.
• You are responsible for contacting the facilities department (x7130) to submit a work order for the set-up and break-down of your event.
• After events and meetings, you are responsible for cleaning or placing a work order for clean-up. Please refer to room descriptions regarding how rooms should look after clean-up. A $100.00 or more fine will be charged to any group or department that do not clean facility properly after use.
• If you have food catered for the event, please make arrangements for pick-up right after your event. You may want to reserve room longer than the actual event for this purpose. If the pick-up cannot be made until later in the day, move all equipment to one area of the room and discard all leftover food. Garbage bags should be securely tied and left for the custodian. Extra garbage bags are available in the MPR storage area, which can be opened by the staff at the Center. Please note that you are responsible for checking with the caterer to see if you need to reserve the kitchen as a staging area during your event.
• Students planning to hold a party must make arrangements to have one Campus Safety officer or ALANA Cultural Center administrative staff present for the duration of the party. Please call Campus Safety at x7333.
• It is important to cancel the room request on EMS if you find that you don’t need the room, so others can use the space.
